I Used to Think I Just Needed to Remember More

There was a time when I felt like my brain was a giant checklist. Every day, I’d run through the same steps for the same tasks. Not just once, but over and over. Listing a new product, sending files, updating something in the shop. It was always the same, but I still had to remember every single step. Sixteen steps for one process, then another ten for something else. It felt heavy. Not hard, just… constant.

The List Never Gets Shorter

I’d try to keep it all in my head. Sticky notes, reminders, checklists in my phone. It worked, sort of, but it never felt solid. I’d finish one thing and immediately worry I’d missed something. The mental load was always there, even when I wasn’t working. I’d be out for a walk and suddenly remember step 12. Or I’d wake up at 3am and wonder if I’d sent the right file.

Repetition Is Where Things Start to Drag

It’s not that the work was complicated. It was just the same, every time. I’d notice myself zoning out halfway through, then having to double-check everything. The more products I made, the more the list grew. I started to resent the process. Not because it was hard, but because it was so repetitive. It felt like I was spending all my energy just not forgetting things.

I Thought Hiring Was the Next Step

At one point, I figured the answer was to get help. I tried hiring people to take over some of the tasks. It sounded good in theory, but it never really worked out. Training someone else took more time than just doing it myself. There were always questions, mistakes, things that slipped through. And then there was the cost. Paying someone every month, even when things were slow, just added pressure.

Automations Don’t Forget

Eventually, I started to notice a pattern. If I was doing the same steps every time, why was I doing them manually? I’m not a machine. My memory isn’t perfect. But automations don’t forget. They don’t get tired or distracted. Once I set up a process, it just runs. No skipped steps, no late nights fixing mistakes. It’s not about being more productive. It’s about not having to think about it at all.

Etsy Sellers and the “I Need an Assistant” Feeling

I see this a lot with digital product sellers on Etsy. The shop grows, the product list gets longer, and suddenly it feels like the only way forward is to hire help. But most of the time, it’s not a people problem. It’s a process problem. The listing process is clunky, so it feels overwhelming. Hiring someone just adds another layer. More communication, more management, more to remember.

Automating the Listing Process

When I started automating my own listing process, things changed. I didn’t need to hire anyone. I just needed a system that could remember the steps for me. Templates, workflows, a few automations in the right places. Suddenly, listing new products wasn’t a big deal. I could do it quickly, without thinking about every detail. The backlog started to shrink. I didn’t have to worry about missing something or doing it wrong.

It’s Cheaper and Less Stressful

The thing about automations is they don’t ask for a raise. They don’t take sick days. Once they’re set up, they just work. I stopped feeling guilty about not hiring help. I didn’t need to. The process was solid. I could focus on making new products, not managing people or remembering steps. It was quieter. Less pressure. I didn’t have to explain anything to anyone.

The Backlog Isn’t a Motivation Problem

I used to think my backlog was about motivation. Like I just needed to push harder or get more organized. But it wasn’t that. It was just too many manual steps. Too much to remember. Once the process was automated, the backlog started to clear on its own. I didn’t have to force it. It just happened, because the friction was gone.

I ended up building a system for my own shop that handles the listing process. It uses Google Sheets and Make to automate the steps. It’s not fancy, but it works. It’s Quieter Now

I don’t think about the listing process much anymore. The steps are still there, but I don’t have to hold them all in my head. I can make new products, list them when I want, and not worry about forgetting something. The mental load is lighter. It’s not about working harder. It’s just about not having to remember everything all the time.
