How to Manage Your Business Bookkeeping in Airtable (Step-by-Step for Non-Accountants)

Most solo business owners have spreadsheets everywhere, or worse, nothing at all. They know roughly what they've made but the expenses are a mystery. They're shocked at tax time when their accountant tells them what they owe. The good news: you don't need an accountant to keep basic bookkeeping straight. You need five minutes a day and a simple system. I used to avoid looking at my numbers until the last possible moment. Then I built a system I actually used, and everything changed. Knowing exactly where money comes in and where it goes out takes the anxiety out of finances.

The reality is that most of us aren't terrible with money. We're just not looking at it consistently. Set up Airtable for bookkeeping, spend five minutes every morning checking what came in and what went out, and suddenly you're no longer guessing about your financial position. That consistency is worth way more than the fanciest accounting software.

Separate Income and Expenses Into Different Tables

Create one table for income and one table for expenses. Never mix them. Your income table should have: date, customer name, product sold, amount, payment method, invoice number. Your expenses table should have: date, vendor, category (software, marketing, supplies), amount, payment method, receipt. Keep these completely separate so you can see at a glance where money is coming in and where it's going out. This separation is the foundation of everything else.
